Trust, security and oversight

Clear boundaries around every movement.

Haulier.AI uses AI to organise desk work, but permissions, information barriers, compliance checks and human approval boundaries remain part of the operating system.

Information boundaries

The right information goes to the right party.

Customer-facing and haulier-facing communications are separate. The system is designed to prevent internal pricing, margin, competing quotes and unrelated contact data crossing those boundaries.

Every recipient, linked job and communication purpose can be checked before an external message is sent.

01

Customer-safe projection

Customers can receive their sell terms, service inclusions, movement status and documents they are entitled to receive.

02

Haulier-safe projection

Hauliers receive the operational details and agreed buy terms needed to quote or perform the movement.

03

Cross-party protection

Quoted history, attachments, recipients and hidden commercial information are checked before sending.

04

Tenant and job scope

Retrieval and actions are constrained to the relevant tenant, organisation, party and movement.

05

Prompt-injection protection

Inbound email is treated as untrusted evidence and cannot override application permissions.

06

Auditability

Important decisions, policy checks, actions and outbound message references are recorded.

Operational control

AI proposes. Policy decides what may happen.

External communication and authoritative changes pass through deterministic validation and allow-listed actions.

01

Context scoped

Only the relevant email thread, party-safe job facts and approved rules are collected.

02

Message analysed

Intent, facts, missing information, ambiguity and risks are returned in a structured format.

03

Policy validated

Ownership, recipient role, pricing authority, state transition and privacy boundaries are checked in code.

04

Action controlled

Only allow-listed, idempotent actions permitted by the active autonomy mode can execute.

05

Reply projected

The final message is drafted from recipient-safe verified facts rather than the unrestricted job record.

Haulier approval

Compliance is reviewed before first agreed work is released.

Registration does not itself prove approval. Required evidence is reviewed by an authorised operator, and specialist work needs the corresponding current evidence.

Company and operator identityContact and organisation records must match a legitimate haulier relationship.
Current required evidenceOperator licence and Goods in Transit documentation are collected for review under the current onboarding policy.
Capability reviewPorts, terminals, equipment and ordinary work coverage are recorded separately from specialist approval.
Expiry controlsExpired mandatory evidence can suspend eligibility for new RFQs until renewal is approved.

Human oversight

High-risk decisions do not become automatic just because the model is confident.

Claims, liability, disputes, compensation, unusual commercial commitments, unclear job identity, uncertain recipient boundaries and specialist compliance questions remain approval or escalation matters.

AI supports the desk work. Professional hauliers carry out the transport. People remain available where judgement is required.
