How to request closure of a Haulier.AI account or deletion of personal data.

1. Purpose of this page
This page explains how customers, hauliers, contractors and portal users can request deletion of a Haulier.AI account or personal data.
Account deletion is not the same as deletion of all business records. Transport, billing, POD, credit, claim, audit and legal records may need to be retained even after portal access is closed.
2. How to request deletion
To request account deletion, email [email protected] with:
- your full name;
- company name;
- email address used for the account;
- whether you are a customer, haulier/contractor, driver, employee contact or other user;
- the request you are making: portal account closure, marketing deletion, data erasure request, or correction of details.
We may need to verify your identity and authority before acting on the request.
3. What happens after a request
After we receive a valid request, we will usually:
- acknowledge the request;
- check whether there are active jobs, invoices, disputes, claims or compliance matters linked to the account;
- close or disable portal access where appropriate;
- delete, anonymise or restrict personal data where we can;
- retain any records we are required or entitled to keep;
- confirm the outcome.
4. Records we may need to keep
We may retain records where needed for:
- active or historic transport jobs;
- PODs, invoices, statements, payments and accounting records;
- credit checks, credit insurance, debt recovery and payment disputes;
- insurance claims, cargo claims, legal claims, complaints and incident investigation;
- audit logs, fraud prevention and security;
- statutory, tax, accounting, regulatory or contractual obligations.
Where we cannot fully delete a record, we may restrict access, minimise the personal data, anonymise where practical or mark the account as closed.
5. Active jobs and operational safety
If your account is linked to an active job, deletion may be delayed until the job, POD, invoicing and safety-critical communications are complete. We will not delete operational information if doing so could create a delivery, security, claims or safety risk.
6. Marketing deletion
You can unsubscribe from marketing at any time. Marketing opt-out does not stop operational emails about quotes, orders, jobs, PODs, invoices, payment, security or account administration.
7. Timeframe
We aim to respond to deletion and data protection requests within one month where UK data protection law requires it. Complex requests may take longer, and we will tell you if an extension is needed.
